KnowPrep ("we," "our," or "us") operates the KnowPrep platform at knowprep.ai (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service. By using KnowPrep, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Account Information. When you sign up, we collect your name, email address, and authentication credentials via Clerk, our identity provider.

CRM Data. If you connect a CRM (such as Salesmate or HubSpot), we access deal, contact, and company records from that system solely to power the features you request. We do not store raw CRM records beyond short-lived caches needed to generate responses.

Calendar Data. If you connect Google Calendar, we read your calendar events to identify external meetings for your daily briefing. We do not store calendar data beyond what is needed to generate the briefing email.

Call Recording Metadata. If you connect tl;dv, we access meeting metadata, highlights, and transcripts to generate sales intelligence. This data is processed transiently and cached briefly for performance.

Usage Data. We collect information about how you interact with the Service, including pages visited, features used, and actions taken, via PostHog analytics.

Payment Information. Payments are processed by Stripe. We do not store full credit card numbers or sensitive payment details on our servers.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the KnowPrep Service
• Generate account research, deal intelligence, and meeting briefings
• Send daily briefing emails and notifications you have configured
• Process payments and manage your subscription
• Respond to your inquiries and provide customer support
• Monitor and analyze usage patterns to improve our product
• Comply with legal obligations

4. Data Sharing and Disclosure

We do not sell your personal information. We share data only in the following circumstances:

Service Providers. We share data with trusted third-party services that help us operate the platform, including Anthropic (AI processing), Clerk (authentication), Stripe (payments), Resend (email delivery), Redis/Upstash (caching), Vercel (hosting), and PostHog (analytics). Each provider processes data only as needed to perform their service.

Legal Requirements. We may disclose your information if required by law or in response to valid legal process, such as a court order or government request.

Business Transfers. If KnowPrep is acquired or merged with another company, your information may be transferred as part of that transaction.

With Your Consent. We may share information in other ways if you give us explicit permission.

5. Data Retention

We retain your account information for as long as your account is active. CRM data, calendar data, and call intelligence are cached transiently (typically minutes to hours) and purged automatically. Deal intelligence and research results may be cached for up to 24 hours to improve performance. You may request deletion of your account and associated data at any time by contacting us at support@knowprep.ai.

6. Security

We implement industry-standard security measures to protect your information, including encrypted data transmission (TLS), access controls, and secure credential storage. API keys and tokens you provide are stored encrypted in our database and never exposed in API responses. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Third-Party Integrations

When you connect third-party services (Google, Salesmate, HubSpot, tl;dv), you are also subject to those services' privacy policies. We only request the minimum permissions needed to provide the features you use. You can disconnect any integration at any time from your settings page, at which point we will delete the stored credentials.

8. Cookies and Tracking

We use cookies and similar tracking technologies to maintain your session and understand how you use the Service. Analytics data is collected via PostHog. You can configure your browser to refuse cookies, though this may affect some functionality.

9. Children's Privacy

KnowPrep is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us immediately.

10. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal data; object to or restrict certain processing; and data portability. To exercise these rights, contact us at support@knowprep.ai. We will respond within 30 days.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last Updated" date. Continued use of the Service after changes constitutes acceptance of the updated policy.
